Privacy notice
Effective October 11, 2026
This notice describes how the Æsc website handles enquiry submissions, Home & Office coordination requests, address research, optional room-photo reviews, website visits, and access to its private preview.
Enquiries
When you submit the contact form, the website records your email address, selected enquiry type, submission time, and any name, organisation, or message you provide. This information is stored in the site's enquiry database and used to receive, review, and respond to your request. The form is not a newsletter subscription.
To recover an interrupted enquiry without saving it twice, this browser tab stores random retry identifiers and one-way digests of submitted details. These records are valid for twelve hours and do not contain the contact fields or message themselves. A successful submission shows a reference and a copy of the submitted brief during the current page visit; you may download that receipt. Starting another enquiry clears the completed enquiry’s retry record.
Enquiry notifications may be delivered to Æsc through Resend, an email service provider. Hosting and database services process the information needed to operate the website and store submissions. Notification emails contain the details submitted through the form.
Home & Office requests
When you submit a Home & Office coordination request, we save your name, email address, optional phone number, property ZIP code, whether the space is a home or office, any note and optional property brief you provide, and the names and quantities of your selected tests, products and services. The brief may include water source, existing treatment, intended sampling points, room size, bed size and number of sleepers for a cooling selection, property relationship, preferred consultation format and timing. For physical product or kit requests, you may also provide a delivery ZIP code and address type to help us assess shipping separately from the property location. These answers do not change the selected product, kit quantity or reference price. We also record the submission time, your consent, a snapshot of the selected catalogue information, and technical checks that recognise retries and prevent duplicate saves of the same submission. These records are stored in the website database for Æsc to review and follow up on your request.
Æsc may add internal review notes, a progress status and a draft quotation to a saved request. The quotation records which selections are included or deferred and any reasons for deferral. These records can include proposed prices and terms, the date of a change and the authorised owner account that made it. The original submitted details remain recorded. Access to the request desk is limited to the configured owner after email or owner-password sign-in. Requests made while individually signed in are linked to that submitting account. The customer can view their own requests and proposals the owner explicitly publishes; internal notes and unissued drafts stay private. A published proposal is a dated snapshot. We retain its revision, terms, total, publication time and any customer approval or request for changes, together with the responding verified account and time. Approval does not itself process payment or place a supplier order.
For an account-linked request, Æsc can publish practical questions in your request workspace and you can reply there. We retain each question, reply or withdrawal, its time and the account that made it. These exchanges are visible to you and the authorised owner; they do not change your original submission or an approved proposal. No email notification is sent when a question or reply is added.
Æsc may also publish a current next step or fulfilment update for your request, such as delivery progress or agreed visit arrangements. We store the latest update and the time its wording changed; it is visible to the submitting account and the authorised owner. A later update replaces the current displayed note, while the original request and any approved proposal remain separate. Posting an update does not send an email, change the agreed price or itself place an order or book a service.
This form does not send email notifications or receipts, share the request with named suppliers, take payment or create a confirmed order, appointment or clinical service. Please do not include medical records, laboratory reports, payment details, passwords or other sensitive personal details in a request or follow-up reply.
Address research
When you agree to the source lookup and submit an address, Æsc sends it to the U.S. Census Geocoder to find a location match. After you confirm a match, the service verifies it again and sends its estimated coordinates to EPA for nearby regulatory records and to USDA Soil Data Access for mapped soil-survey information. If you identify public water as your source and provide a supplier name, Æsc also sends that name and the matched state to EPA's water-system directory. The matched county is also compared with a saved copy of EPA annual county air-quality data; that comparison makes no additional external request. Æsc does not send your optional building year or interests to these source services.
Æsc processes the address, optional property descriptions and retrieved records to return this source review. It does not save an address profile or these results in its database. The page holds them for the current page session, and you may download a copy to your own device. Source services separately process the queries under their own policies, and hosting and security services may process the technical information needed to handle requests. The lookup does not contact a water supplier, request a test or submit a Home & Office coordination request.
If you confirm a water system, its public system identifier is used to retrieve historical EPA UCMR monitoring from a public-data snapshot hosted by Æsc. This step does not send your address to an additional provider. Your supplier confirmation and the retrieved measurements remain part of the current page review and any copy you choose to download.
Room-photo reviews
Selecting a room photo displays it in your browser. When live analysis is available, the photo is sent only after you accept the processing notice and choose to analyse it. Your browser resizes and re-encodes the image before sending it, removing the original file metadata. Æsc then sends that image and your room answers to OpenAI for the requested review. Choose photos you have permission to share and avoid including people, identifying documents, medical records or other sensitive personal details.
Æsc does not save the photo, room answers or generated review in its database or photo storage. They are processed to return the review and remain in the open browser page until replaced, reset or closed. You can choose to download a copy of the review to your own device. The separate scripted example and concept film do not analyse your photograph.
To control misuse and usage, Æsc records a random attempt identifier, a one-way identifier derived from your signed-in account, the attempt time and the version of the processing notice you accepted. Requests perform bounded cleanup of attempt records older than 48 hours; cleanup depends on subsequent requests, so this is not a promise of deletion at an exact time. Your email sign-in and any later product or service request are governed by the separate sections of this notice.
Æsc requests that OpenAI not store the response for later API retrieval. This does not mean that OpenAI retains no information: its abuse-monitoring records may include submitted content and are generally retained for up to 30 days, with legal and safety exceptions. Æsc has not enabled a special zero-retention arrangement. See OpenAI’s API data controls and retention information for the provider’s current policy.
Website visits
On the Æsc custom domain, the website counts page views by date and broad source category, such as direct, search, social, or referral. This counter stores aggregate totals rather than a visitor profile, and does not record names, email addresses, IP addresses, or full referring URLs in its analytics table. The counter uses no analytics cookies and is skipped when the browser signals Global Privacy Control or Do Not Track.
The hosting and security services may separately process technical request information, including IP addresses and browser information, to deliver and protect the website. The homepage also requests fonts from Google Fonts, which receives the technical information accompanying those requests. This notice describes Æsc's website features; it does not replace the privacy notices of external service providers or websites.
Private-preview access
Ordinary private-beta sessions expire after twelve hours. The owner can choose a thirty-day session when signing in, including through the separate owner-password sign-in. Logging out clears that cookie. While shared-password access is in use, failed attempts are temporarily counted by network address to limit repeated password attempts. These controls are separate from the aggregate page-view counter.
The email-access request form records your name, email address, any optional short note you provide, and your affirmative acceptance of the linked confidentiality terms. It immediately notifies the configured owner through Resend. New applicants receive a single-use access code only after approval; already-approved visitors can request a fresh code without another approval. We record the requested email address, delivery status and short-lived security records. These include hashed email and network identifiers, attempted code checks and hashed session credentials. Codes sent with owner approval expire after 24 hours; fresh sign-in codes expire after ten minutes. The validity period starts when the code is issued. Email confirmation demonstrates access to an inbox; it does not verify a person’s identity.
The owner-only access register shows your submitted name, email, optional note and request status immediately. Email ownership remains unconfirmed until the emailed code is redeemed. It then records first confirmation, approximate most recent visit and the number of successful sign-ins. It also records the time and owner account for approvals and revocations, with new decisions linked to the corresponding access request. Depending on the admission policy shown at sign-in, access may require the owner’s approval. When approval is required, we send your submitted name, email address, optional note and a link to the approval dashboard to the configured owner through Resend. We record the notification recipient, delivery attempts, status and sending time. The owner can revoke access, including existing sessions. Confirming your email does not subscribe you to marketing.
The unchecked agreement box on the access request form records acceptance of the confidentiality terms. We retain the submitted email, acceptance time, agreement version, full agreement text and digital fingerprint, and the request origin and security identifiers. When an approved access code is redeemed, we link the request and consent to that verified email, verification time and sign-in session. Your submitted name identifies your access request; acceptance is recorded through the checkbox. No separate signature field is required. Earlier consent records may contain names submitted under an earlier version of the agreement. Consent records remain after a sign-in session expires; no fixed automatic deletion period applies. Acceptance does not subscribe you to marketing or replace owner approval.
If you make a preview plan, the selections are stored in your browser's session storage. They are not automatically submitted to Æsc. Your selections are saved to Æsc's database only if you submit the Home & Office request form. Logging out clears the saved browser selections; it does not delete a submitted request.
To recover an interrupted Home & Office submission without saving it twice, the browser session also retains a random request identifier and a one-way digest used to recognise the same submitted details for up to twelve hours. This recovery record does not contain the contact fields or notes themselves. Logging out or explicitly preparing another request clears it.
Stored information and your requests
Enquiries and submitted Home & Office requests, current fulfilment updates, related clarification exchanges, internal review records and quotation drafts remain in the website's records. General-enquiry details may also remain in notification emails. Neither form currently applies a fixed automatic deletion period.
When email access is active, confirmed visitor records and approval or revocation records remain in the access register until an owner-arranged deletion. Authentication requests perform bounded cleanup of code requests and attempted checks older than 24 hours, and sessions expired or revoked more than 24 hours ago. Cleanup happens when authentication requests occur, so it is not a promise of deletion at an exact time. Resend separately processes the access emails it delivers.
You can use the contact form to ask about these practices or request access to, correction of, or deletion of your submitted information. Include the email address used for the original submission and, for a Home & Office request, its reference if available. Æsc may need to verify that the request relates to your information before acting on it.
